The Throttle V2 Action

What It Does: The Throttle Action controls the speed of your HubSpot workflows, preventing API rate limits and managing lead assignments.

Use Case: You want to assign 1,000 leads to your sales team but limit it to 100 per day to avoid overwhelming reps. The Throttle Action ensures only 100 workflows run daily.

How to Set It Up:

1. In HubSpot’s Workflow Editor, add the Daeda Essentials > Throttle Action.
2. Set the
   
   1. Number of workflows to release
   2. Time unit for the throttle e.g. seconds, minutes, hours, days.
   3. Minimum time between workflows (in same unit as defined in above input)
   4. The start date and time of executions
3. Optionally set:
   
   1. The execution priority
   2. The days of the week you would like this to execute

Set & Clear Multiselect Dropdown Values Action

What It Does: The Set Multiselect Dropdown Values action allows you to add selected values to a multiselect dropdown property for enrolled objects, while the Clear Multiselect Dropdown Values action enables you to easily remove specific values from the same property, simplifying management of dropdown data.

How to Set It Up:

1. In HubSpot’s Workflow Editor, create a new workflow
2. Configure the Set Multiselect Dropdown Values action:

a. Select the dropdown property e.g. if the enrolled object is contacts then these could be the Buying Role, Legal basis for processing contact's data or Merged Contact IDs

b. Select the values you want to add to the chosen property

c. (Optional) Overwrite the current property with the selected one

Or if you'd like to Clear Multiselect Dropdown Values, configure this action:

1. Select the dropdown property

2. Select the values to unselect

Use Cases:

- You want to update multiple contacts' “Buying Role” to the value “Blocker”

- You want to update multiple contacts by removing “Freely given consent from contact” under "Legal basis for processing contact's data"

Approval Start and Approval Gate Actions

What It Does: The Approval Start and Approval Gate actions work together to pause workflows, requiring manual approval before proceeding. Approval Start generates a unique approval link, while Approval Gate blocks the workflow until the link is clicked or approval is granted via the approvals page.

How to Set It Up:

1. In HubSpot’s Workflow Editor, create a new workflow
2. Add the Approval Start action
3. Configure the Approval Start action

4. (Optional) Add a message to display on the approval page

5. Add the Approval Gate action - this will pause the workflow until approved

a. Add the UUID from the ApprovalStart node - (this can be found in the 'Insert Data' panel to the right. Select Action Properties > Action Outputs > ApprovalStart > The approval UUID)

b. Select the amount to expire in e.g. 5

c. Select the unit e.g. minutes, hours, days or months

Use Case Example: For high-value deals (e.g., over $50,000), you want to pause the workflow and notify the Head of Sales for review. Approval Start sends an email with a link, and Approval Gate ensures the process halts until approval is confirmed.

Away Gate Action

The AwayGate action pauses HubSpot workflows when the assigned user is unavailable, preventing untimely task assignments and maintaining KPI accuracy.

Setup Instructions

1. Create a new workflow in HubSpot and set the trigger to enroll contacts with conditions (e.g., Lifecycle stage is any of Lead and Contact owner is known).
2. Add the AwayGate action from the action menu.
3. Configure the settings:
   • User Type: Choose between an associated user or a defined user.
   • Select User: If you chose associated then the option will be owner, otherwise it'll be users in your HubSpot

Use Case Example

Pause lead assignments to contact owners during off-hours, resuming only when the owner is available, and send a notification for follow-up.

Bulk Associate Records Action

The Bulk Associate Records action in Daeda Essentials enhances your HubSpot workflows by linking enrolled records with other records based on matching properties, bypassing the standard 100-association limit.

Setup Instructions

1. Create a new workflow in HubSpot and set the trigger to "Manually triggered only" for deals.
2. Add the Bulk Associate Records action from the action menu.
3. Configure the settings:
   
   1. Choose enrolled object type e.g. the type of the object enrolled in this workflow.
   2. Choose object type to associate e.g. the type of object to search for and associate with.
   3. (Optional) Check "Create association without label?" if no label is required.
   4. Association condition: choose the condition for creating associations e.g. 'Matching Property Values'
   5. Enrolled object property to match e.g. select the property on the enrolled object whose value must match.
   6. Associate object property to match

OpenRouter AI Action

The OpenRouter action allows you to connect your OpenRouter account to HubSpot - giving you access to all 300+ AI Models. It also includes websearch functionality.

With the OpenRouter AI action - you can access an up-to-date library of 300+ LLM models. At cost, through the OpenRouter platform, using your own API key.

Great for expanding your options outside OpenAI and Breeze.

NOTE: This action will not work until you have added your openrouter key.

Get OpenRouter AI Key

1. Head to their site here. Sign up or login, then create and copy your API key.

2. Then go to HubSpot settings > Connected apps

3. Click on Daeda Essentials and go to General Settings > click Manage Account

4. Paste the key into the input

Setup Instructions

1. Create a new workflow in HubSpot
2. Add the OpenRouter AI action from the action menu.
3. Configure the settings:
   • Choose an OpenRouter model like DeepSeek or Anthropic: Claude 3 Opus or Gemini 1.5 Pro etc
   • Choose a provider for the model
   • Enter your desired prompt
   • (Optional) Select web search (costs $0.1 USD per request and provides better information to the AI)

Pause for Meetings Action

Streamline your workflows with the Pause for Meetings action, which delays steps based on calendar events, ensuring tasks resume only when meetings conclude or specific conditions are met.

Setup Instructions

1. Create a new workflow in HubSpot
2. Add the OpenRouter AI action from the action menu under Daeda Essentials.
3. Configure the settings:
   • Select the meeting, either the most recent, nearest or furthest
   • Then choose an unpause condition: when the meeting counts as finished
