Guide - Out of Office Workflows

Create a HubSpot workflow, then go to the Out of Office Workflows app (under Integrated Apps)

There are 4 actions to choose from:

  • Round Robin Assignment
  • Read User Out of Office Status
  • Add User Out of Office
  • Clear User Out of Office

Round Robin Assignment action

Here's an example workflow using this action:

Here's the config:

Use this 4-step process to set up:

1. Select the team

Pick which HubSpot team(s) to pull users from.

2. Select users from the team

Choose individual users from that team to include in the rotation.

3. Choose a property to watch

Define how availability is checked:

  • Use real-time signals like Is Available, Out of Office, or Working Hours.
  • Only users who match your chosen availability condition will be considered.

4. Select fallback behavior

If no users match your condition, you control what happens:

  • Return nothing
  • Return a specific fallback user
  • Fail the action

Here's an example workflow using the 3 actions:

Read Action: select the user and the time you'd like to check that they're available:

Add Action: sets a HubSpot user as out of office for a specified time period:

Clear Action: clears the out of office status for a HubSpot user - either all or a specific date range
